Scope-based services: clear change rules

ZyraOne’s work is delivered as structured materials (checklists, summaries, drafting templates) based on an agreed scope. This policy explains when cancellations and refunds may apply.

1) Definitions

“Order” means a confirmed scope for a specific engagement.

“Deliverables” means the materials produced under scope (e.g., checklist, document map, summaries, drafts).

“Start of work” means the moment we begin preparing deliverables after scope confirmation.

2) Cancellation eligibility

If you cancel before the start of work, we may be able to provide a partial or full refund depending on any administrative time already spent.

If you cancel after the start of work, refunds are generally limited because deliverables are created for your specific request. In such cases, we may offer a partial refund only for clearly unused scope, if applicable.

3) Digital and customized services

ZyraOne services are typically customized and delivered digitally. Once a customized deliverable is started or delivered, refunds may not be available except where required by law.

If a deliverable contains a clear error within the agreed scope (for example, inconsistent names or missing checklist items that were provided), we will address it through the revision rounds included in your plan.

4) Changes to scope

If your situation changes (new documents, new parties, new deadlines), you can request a scope change. We will confirm any adjustments in writing before continuing.

A scope change is not the same as a cancellation; it may replace or extend deliverables.

5) How to request cancellation or refund

To request a cancellation or refund review:

  • Email [email protected] with subject “Refund/Cancellation — ZyraOne”
  • Include your name, contact email, and a short reason
  • If possible, include the scope name or date of confirmation

We will reply with an assessment of the request and any applicable options (partial scope delivery, revision, or cancellation terms).

6) Processing time

If a refund is approved, processing time depends on the payment method and administrative steps. We will provide a practical estimate in our reply.

7) Disputes and resolution

If you disagree with the outcome, you may request a review by replying to the decision email with additional details. We aim to resolve concerns by clarifying scope and deliverables.

This policy does not limit statutory rights that may apply under Japanese law or other mandatory rules.
